I think the best way to organize this before a last participant appears is to give a set time and date of when the first round begins, it'll keep things much easier for a person with a busy schedule like me (i will most likely not be available in 1:30 pm-3:30 pm and 7:00 pm-7:30 pm but i'll try to make it, 99% sure)
